Privacy Policy
This policy explains what personal data STEMP Ltd ("STEMP", "we", "us") collects through this website, why, how long we keep it, and the rights you have over it. It's written to be read, not just published. If anything here is unclear, email privacy@stemp-ltd.com and ask.
Who we are
STEMP, a trading name of JKO Group (London) Ltd, a company registered in England and Wales (company number 10836859), registered office The Green, Datchet, SL3 9AS, United Kingdom. We are the data controller for the personal data described in this policy.
What we collect, and why
We only collect what a form on this site asks for. There is no tracking, no analytics, and no advertising on this site. See Cookies below.
Quote requests
When you submit the quote form, we collect your name, email address, phone number, company name, shipment route, cargo type, temperature range, transport mode, weight, and any notes you add. We use this to prepare and send you a freight quote, and to correspond with you about it. The legal basis is taking steps at your request prior to entering into a contract (UK GDPR Article 6(1)(b)): you've asked us to quote for a service, and we need this information to do that.
Contact form messages
When you submit the contact form, we collect your name, email, phone number, company, subject, and message, in order to reply to you. The legal basis is our legitimate interest in responding to enquiries sent to us (Article 6(1)(f)). Responding to a message someone sent us is about as narrow and expected a use of that basis as it gets.
How long we keep it
Quote and contact records are kept for up to 24 months from your last contact with us, then deleted. This reflects how long a freight enquiry might realistically turn into a live shipment or a repeat conversation, without holding records indefinitely "just in case." If we ever change this period, we'll update this page.
Who we share it with
We don't sell, rent, or share your data with third parties for their own marketing purposes. Two categories of processor may see it in the ordinary course of running this service:
- Email delivery: sending you a quote confirmation or a reply requires an email provider to actually deliver the message.
- Hosting: the server and database this data is stored on are run by our hosting provider, who cannot access it for their own purposes.
We do not transfer personal data outside the UK or EEA in the course of providing this service.
Cookies
This site does not set any cookies, and does not use analytics, advertising, or tracking scripts of any kind. If that ever changes (for example, if we add analytics in future), we'll update this section and, where the law requires it, ask for your consent before anything non-essential loads.
The one exception is the map on our Contact page: it's a Google Maps embed, but it only loads if you actively click to view it. Once loaded, Google may process data (such as your IP address) according to Google's own privacy policy, which is outside our control.
Your rights
Under UK GDPR, you have the right to:
- ask what personal data we hold about you, and get a copy of it (right of access)
- have inaccurate data corrected (right to rectification)
- ask us to delete your data, where there's no overriding reason for us to keep it (right to erasure)
- object to our use of your data, or ask us to restrict it, in some circumstances
- ask for your data in a portable format, where we're processing it on the basis of your consent or a contract
To exercise any of these, email privacy@stemp-ltd.com. We'll respond within one month, as required by law.
If you're unhappy with how we've handled your data, you can complain to the UK's data protection regulator, the Information Commissioner's Office (ICO). We'd genuinely rather you told us first, so we can put it right. But the choice and the right are entirely yours.
Security
We apply technical measures appropriate to the sensitivity of this data: encrypted transport (HTTPS), access-controlled hosting, and rate limiting on the forms to make automated harvesting impractical. No system is unbreakable, and we treat that as an ongoing responsibility rather than a box that's been ticked.
Changes to this policy
If we make a material change to how we handle your data, we'll update the date at the top of this page. Continued use of the site after a change means you've seen the update; it doesn't change how we handle data already covered by a stricter version of this policy at the time it was collected.
